How Does the Private Jet Charter Process Work?
Chartering a private jet may initially appear complicated. In practice, once the correct information has been provided, the broker manages much of the process, from sourcing the aircraft to coordinating ground services.
Step 1: Creating the flight request
The first step is creating the flight request. The departure point, destination, travel date, approximate time, number of passengers and return plan are normally enough to begin.
A few additional details help determine the right aircraft:
- Total number of passengers
- Number and approximate size of bags
- Large sporting equipment
- Pets travelling on board
- Children or passengers requiring assistance
- Catering preferences
- Flexibility regarding departure time
Step 2: Aircraft selection and quotation
After receiving this information, the broker searches for suitable aircraft. A quotation will usually include the aircraft type or category, year of manufacture, cabin configuration, passenger capacity, baggage information, estimated flight time and total charter price.

Step 3: Agreement and operational preparation
Once an aircraft has been selected, the charter agreement is prepared. Passenger details, passport copies and special requests are passed to the operations team. For international flights, preparations may include landing permits, flight planning, customs coordination and ground handling.
The flight is confirmed after the agreement and payment requirements have been completed. Passengers receive the terminal details, recommended arrival time, essential crew information and a list of required documents.
Step 4: Arrival at the terminal
Arrival time varies according to the airport and route. For many private flights, reaching the terminal 20 to 40 minutes before departure may be sufficient. International operations, busy airports and specific security procedures can require an earlier arrival.
Baggage capacity deserves particular attention. An aircraft that can seat eight passengers may not necessarily accommodate eight large suitcases. Smaller jets can have limited luggage compartments, so the number and dimensions of all bags should be disclosed during the quotation stage.
On the day of departure, the ground team collects the luggage, completes security and document checks and escorts the passengers to the aircraft. Catering can be prepared according to preferences submitted beforehand.
Step 5: Landing and ground transfer
When an arrival transfer has been requested, the vehicle will be waiting at the appropriate terminal. At certain airports, vehicles may approach close to the aircraft, while at others passengers are met outside the terminal.

A first-time passenger does not need to understand every technical detail. The priority is to provide a complete itinerary, accurate passenger requirements and clear baggage information.
